This position is in-office Monday - Friday and not eligible for remote work.

Job Summary:

The Administrative Assistant 3 provides administrative support in a variety of functions to their Division’s management team and team members. This role collects, reviews, and analyzes complex and/or confidential data and prepares reports, charts, budgets, and other presentation materials. Additional responsibilities include responding to or routing non-routine or confidential inquiries from external or internal sources with correspondence or other messaging. Also the incumbent of this position will schedule and coordinate meetings, travel, and other group activities, and may be responsible for creating and distributing reports on a regular schedule.

Job Requirements:

Education & Experience
- Any combination that meets the knowledge, skills and abilities (KSA); typical ways KSAs are obtained may include but are not limited to: a High School Diploma (HSD) or General Education Degree (GED), coursework, training, and work experience relevant to the assignment.
- Minimum of four years’ of administrative support or related experience

Licenses & Certifications
- None required

Knowledge/Understanding
- Principles of administration and management
- Agency rules and regulations and operating procedures

Skills
- Excellent verbal, written, and listening communication skills
- Excellent organization and time management skills with the ability to manage multiple projects simultaneously and work in high-pressure situations
- Excellent interpersonal skills and demeanor
- Strong professional decorum
- Strong keyboarding skills
- Proficient in the use of a PC in a Windows environment; in the use of the Internet
- Advanced skills in the use of MS Office Applications such as Outlook, Word and Excel, PowerPoint; and in the use of Google Suite applications such as GMail, Sheets, Docs, and Drive.

Abilities
- Ability to clear a comprehensive background and clearance process that includes an Arizona tax compliance verification, and a criminal background check through the FBI via level one fingerprint clearance through the Arizona Department of Public Safety
- Ability to work independently and collaboratively as part of a team
- Ability to work in a confidential manner, ensuring information is shared with internal and external individuals in an appropriate manner
- Ability to understand and solve problems by applying basic analytical skills to include undertaking a process of information and data collection and analysis for integration purposes; Identifying and making sets of information and determining their relationships; codifying this data to detect trends and issues in the data and information in a logical and factual manner; making logical deductions from data; and identifying a solution for resolving the problem.

Additional Job Demands
- In the course of performing the essential duties one must be able to exert up to 30 pounds of force occasionally, and/or up to 10 pounds of force frequently, and/or a negligible amount of force constantly to move objects.
- No substantial exposure to adverse environmental conditions (such as in typical office or administrative work.)
