Job Summary:

This position will perform a full range of administrative work for the Wildlife Management Habitat Branch (WMHB) programs. Maintain and enhance the overall quality of work products and information management within the Branch and the Department. Coordinates with the Branch Chief, Program Managers and other work units in maintaining the Branch Calendar, process schedules, meetings/appointments and disseminates information to Branch staff and others within the Department.

Job Duties:

Major responsibilities include:

- Coordinates administrative matters across all programs within WMHB, and between Department divisions as needed.

- Assists in the preparation of Department documentation for Department programs.

- Develops or modifies procedures and forms for program effectiveness.

- Maintains and improves work unit databases for monitoring, tracking and oversight.

- Produces a variety of Department and regional work unit operational reports and queries for data and information requests and to track program progress for funding reporting requirements.

- Assists the Project Evaluation Program to track Department involvement in projects and deadlines.

- Assigns, distributes and tracks statewide Department, state and federal actions for Departmental.

- Attends meetings, conferences, and training sessions.

- Oversight of office equipment including purchases, maintenance and inventory.

- Assists in administrative support; initiates, facilitates, monitors and completes branch directed projects to provide support to the Branch.

- Assists in interpreting and explaining organizational rules, regulations, policy and functions, ensuring Branch compliance with new Department policy and directives to provide consistency Department wide.

- Perform other duties as assigned.

Knowledge, Skills & Abilities (KSAs):

The candidate will have knowledge of/in: administration and management; interpersonal relations techniques; generate Program level reports; vehicle and equipment logs, safety and maintenance; confidential administrative functions; management of databases including but not limited to Microsoft Excel and Access and Google Suite platform; efficient office management procedures; establishing and maintaining office files; and prioritizing. The candidate will have skills in oral, verbal, and written communications; coordination, organization, critical thinking, and negotiation; project planning, management, leadership, and time management; adapt to constantly changing priorities and work assignments; evaluate Branch needs for office supplies; procedure and policy development, managing multiple and varied complex administrative functions; develop reports/ queries for data/information; organizational skills; independent judgment; work independently; problem solving and conflict resolution and listening skill. The candidate will have the ability to plan, analyze, organize, and coordinate; develop operating procedures; identify and translate priorities into action through directed resource deployment; work well and lead others; coordinate travel or itineraries; engage with internal and external partners; demonstrate leadership and promote a positive work environment.

Selective Preference(s):

The preferred candidate will have experience in coordinating and ensuring compliance for a natural resource or land management agency, including performing tribal coordination and project clearance or coordination with a state historic preservation office.

training, and successfully pass all necessary driver’s license record checks. The license must be current, unexpired, and neither revoked or suspended. Employees who drive on state business are subject to driver’s license record checks, must maintain acceptable driving records, and must complete all required driver training. An employee who operates a personally owned vehicle on state business shall maintain the statutorily required liability insurance (see Arizona Administrative Code (A.A.C.) R2-10-207.11).
