Job Summary:

The Arizona Department of Corrections, Rehabilitation & Reentry (ADCRR) is seeking a self-motivated and detail-oriented individual to perform a variety of administrative support functions for management. This position also composes letters, memos, and various weekly/monthly reports at the Arizona State Prison Complex-Yuma. Apply now, and join a great team!

Job Duties:

- Performs general administrative functions, including answering telephones, routing calls, typing correspondence, distribution and filling documentation
- Attends meetings and generates minutes, distributes and files accordingly
- Processes incoming and outgoing correspondence
- Schedules meetings, and makes travel arrangements
- Gathers, enters time, distributes and files positive attendance records, ensures the overtime report is completed on a daily basis, and other reports as requested
- Generates, copies, files, and distributes various reports to include information reports, Narcan, SIR’s and other reports as requested
- Maintains files in accordance with established records retention schedule to include current and archived documents
- Ensures audit documents are organized and filed daily and documentation is destroyed within policy guidelines
- Generates purchase orders and distributing to various staff
- Orders, maintains, and distributes office supplies for the unit and assists in quarterly inventory and purchasing of supplies
- Drives on State business
- Performs other duties appropriate to the assignment

Knowledge, Skills & Abilities (KSAs):

Knowledge of:
- General office practices and procedures
- Personal computers, using Microsoft Office and Google Suite

- Payroll practices and procedures

- Composing routine correspondence to include proper format, spelling, and language

- Taking and transcribing meeting minutes

- Maintain files of correspondence, records, and reports

Selective Preference(s):

- One(1) year of professional office experience and proficient use of Microsoft Office and Google Suite

Pre-Employment Requirements:

Employment is contingent on the selected applicant passing a background investigation and drug test.

In an effort to maintain a safe environment, all employees are required to take a Tuberculosis (TB) test during their New Employee Orientation and every year thereafter.

If this position requires driving or the use of a vehicle as an essential function of the job, then the following requirements apply. Any employee operating a motor vehicle on State business must possess and retain a current, valid class-appropriate driver’s license, complete all required training, and successfully pass all necessary driver’s license record checks. The license must be current, unexpired, and neither revoked nor suspended. Employees who drive on state business are subject to driver’s license record checks, must maintain acceptable driving records, and must complete all required driver training. An employee who operates a personally owned vehicle on state business shall maintain the statutorily required liability insurance (see Arizona Administrative Code (A.A.C.) R2-10-207.11).

Retirement:

Positions in this classification participate in the Arizona State Retirement System (ASRS).

Enrollment eligibility will become effective after 27 weeks of employment.
