Job Summary:

The Arizona Attorney General’s Office Solicitor General’ Office is seeking a Division Office Administrator to provide support to the Division in planning, coordinating, executing and overseeing all administrative activity, including personnel, procurement, and budget.

Remote Options: This position may be eligible for Remote Work two days a week.

Job Duties:

This position duties include supervision of staff, preparation and process of purchase orders for purchase of furniture and equipment, office supplies, legal materials, payment of court reporters/depositions, court filing fees, service awards, etc. Process personnel actions; decision making in the hiring of new Division staff employees, completion of hiring packet forms for all new Division employees, hiring, training, supervision, disciplinary actions, evaluation of support staff. Assist in preparation of the Division's budget, and attend monthly budget meetings. Maintain and provide statistical information for a variety of annual reports. Develop, instruct, guide and counsel staff on policies and procedures relating to purchasing, travel, personnel, Legal Files and Records Management archiving. Dissemination of information to the Division as changes occur in procedures and court rules, answer inquiries. Coordination of travel for the Division; seek approval for funding, completion of out-of-state approval forms, review travel reimbursement claims for accuracy. Review of electronic time sheets for the Division, and approval of time sheets for support staff. Manage files archived with Records Management, retrieval of files, and data entry in Legal Files and CMS.

Knowledge, Skills & Abilities (KSAs):

Knowledge of the rules, policies and operating procedures of the Office of the Attorney General.
Knowledge of applicable state and federal rules and regulations governing the work of the Solicitor General.
Knowledge of appropriate data gathering methods and techniques; problem solving techniques; office computer programs and file management information.
Knowledge of principles, practices and applicable governing directives pertaining to fiscal management, budgetary monitoring, administration, office management and supervision.
Knowledge of facilities and equipment management including space management, furniture and equipment repair orders; procurement rules.
Knowledge of operation of state government; and knowledge of full range of complex legal secretarial functions.
Skilled in problem solving and conflict resolution.
Skilled in written and oral communication.
Skilled in delegation, decision making, organization, and leadership.
Ability to write and speak with clarity and effectiveness.
Ability to establish and maintain effective working relationships with contacts within and outside the Attorney General's Office.
Ability to manage, analyze and resolve multiple issues in a timely manner.
