This position is eligible to participate in the ASE Stipend Pay Program, employees can earn up to $4800 a year with qualifying certifications. We reimburse 100% of the cost for passed tests and offer training assistance!

Work Hours: Monday through Friday 7:00am – 3:30pm with the potential to work 4/10’s after training is completed.

Anticipated hiring salary is $58,079 with a potential to earn up to $62,079 annually when ASE Customer Service Representative Certified status is obtained.

Job Summary:

Responsible for transferring assets in and out of physical inventory, processing auction payments and transferring ownership to the new owner(s) by performing title work and Motor Vehicle Division (MVD) services as a 3rd party for the State of Arizona. Update vehicle records within the fleet system and be the fleet spare key custodian for multiple agencies. Assist with the Preventative Maintenance Scheduler and GPS coordinator duties to maintain and monitor the statewide standardized preventive maintenance (PM) policy and program to ensure that all technical maintenance requirements are performed during preventive maintenance cycles for over 10,000 vehicles for the 23 EQS shops and administrative locations statewide. Assist with the statewide GPS program, vehicle/equipment emission requirements, special safety inspections and equipment evaluation programs. Will act as the primary contact with internal and external customers to interface as needed. Some travel will be required.

Job Duties:

Interface with internal and external customers daily. Handle inbound phone calls and process transactions with customers, accepting auction payments, processing the bill of sale and title transfer. Update the transfer of vehicles and equipment, new issues, reissues, and auctioned equipment maintaining data integrity within the fleet system. Process fleet acceptance reports and work with the Fleet Manager to process invoices.

Manage and oversee GPS inventory.

Assist with researching vehicle histories to forecast PM services and balance the workload management for each shop. Distribute maintenance requirements with vehicle end users and maintenance organizations. Issue annual/monthly/weekly user and shop notification reports outlining requirements and performance. Publish PM policies and checklists as changes to vehicle maintenance requirements occur.

Analyze performance to identify negative trends and work closely with shop supervisors for improving performance. Monitor PM plan for each piece of equipment, including frequency, technician tasks, parts needs, tools needed, and safety procedures. Write policies and procedures for any PM or miscellaneous project or special program on an as needed basis or as directed.

Perform 3rd party MVD services as needed for plates and registrations. Ensure spare keys and title inventories are secured and organized at all times. Initiate customer surveys and report back with any deficiencies. Handle general office duties such as ordering office supplies and processing FedEx shipments.

Develop long-range rules, policies and procedures in accordance with applicable federal, state, and local laws, rules and regulations and will also write reviews of accidents and near-miss incidents as needed or directed. Operate a state vehicle.

Knowledge, Skills & Abilities (KSAs):

Knowledge:
- ADOT organizational structure and chain of command requirements.
- ADOT, state, federal and local laws and regulations relative to vehicle maintenance and repair.
- Internal operation procedures, structure and customs of Equipment Services Vehicle repair and service processes including any specialized inspection requirements.
- PM processes and manufacturers requirements for implementing maintenance programs on light and heavy duty vehicles.
- Workload principles and practices.
- Federal Codes of Regulations relative to vehicle repair in the areas of Occupational Safety, Transportation and as well as applicable Arizona, Arizona County and local laws, rules and regulations in these same areas.

Skill:

- Excellent customer service skills.
- Effective written and oral communication.
- Conflict and issue resolution.
- Utilizing a variety of computer systems including office management, fleet management report and query generating software.
- Utilizing PC programs such as Google Workspace and Microsoft office.

Ability:

- Analyze fleet make up and prepare maintenance plans to balance shop manpower capability with fleet maintenance requirements.
- Comprehend ADOT, state, federal, local laws and regulations relative to vehicle maintenance and repair.
- Maintain confidentiality.
- Lift/push/pull up to 30 lbs.
- Pass a physical exam.

Selective Preference(s):

Four years experience in a wide variety of vehicle maintenance and fleet management operations to include shop operations, fleet management functions, workload control and data collection, and maintenance systems operations.

Pre-Employment Requirements:

This position requires driving or the use of a vehicle as an essential function of the job, and the following requirements apply. Any employee operating a motor vehicle on State business must possess and retain a current, valid class-appropriate driver’s license, complete all required training, and successfully pass all necessary driver’s license record checks. The license must be current, unexpired, and neither revoked nor suspended. Employees who drive on state business are subject to driver’s license record checks, must maintain acceptable driving records, and must complete all required driver training. An employee who operates a personally owned vehicle on state business shall maintain the statutorily required liability insurance (see Arizona Administrative Code (A.A.C.) R2-10-207.11).

Will be certified as a Third Party MVD operator and Notary Public or ability to obtain certification within the 5th month of employment.
